PRG Marketing Communications’ role in data collection and processing

Under the GDPR, PRG Marketing Communications is classified as both the ‘data controller’ (the body responsible for determining the purpose and means of processing personal data) and the ‘data processor’ (the body responsible for processing personal data).

Personal Data

This notice refers to the collection and handling of personal data – namely information that could be used to identify an individual, such as name, email address and postal address.

What information do we collect and why?

PRG Marketing Communications collects information about its customers, potential customers and other interested parties for a number of reasons. This could refer to both individuals and organisations. Primarily we collect non-sensitive personal data such as names, email addresses, telephone numbers company names and job roles in order to:

  • Circulate marketing emails and communications such as product promotions & offers, competitions and other relevant content.
  • Contact potential customers to discuss opportunities.
  • Send documentation relating to purchases made via our website or in-house team.

PRG Marketing Communications only processes information when:

We have been given consent to do so. This consent will be given in the form of a positive ‘opt in’ from the data subject. Either where we have a legitimate interest to do so, for example emailing an invoice or order confirmation. Or where a data subject has freely given their information for marketing purposes, this may be processed outside of the UK e.g. in email marketing platforms such as Mailchimp, however this information can never be used by any other third party companies. To find out more please visit: mailchimp.com/legal/privacy/

Ensuring your personal data is safe and accurate

We ensure that your data is kept safely on our systems and have put measures in place to help guard against any accidental loss, destruction or damage of personal data.

We only collect and record data about individuals that is necessary for us to perform our marketing activity and nothing more. As our information is collected from the individuals directly, we assume that this is correct at the time of collection and offer provision for our data subjects to update their details at any time if the information held becomes inaccurate (see below ‘Rights of the Data Subject’).

Data Sharing

PRG Marketing Communications will never share its customers or potential customer’s data with any other businesses, individuals outside of our company or any third parties. Unless customers have purchased hospitality tickets for the Nature Valley International, in which case details of customers will be shared with the event organiser only (Lawn Tennis Association).

Retaining Information

We will hold data on individuals who have subscribed to our marketing publications until we are directed otherwise by the Data Subject (customer or potential customer). A link will be provided in each email we send, giving our subscribers the option to unsubscribe. Once an unsubscribe request has been received, the Data Subjects details will remain on our system for 30 days to allow us to run analytics or reporting. After this time, the Data Subject’s details will be deleted completely from our database.
